On-campus exams with Exam Services in Ultuna - a step-by-step guide

This overview outlines, step by step, how on-campus exams are coordinated in collaboration with Exam Services, with the purpose of ensuring a legally secure and smooth process for both staff and students. Further information is available below each collapsible heading under the buttons moderated written examination and on-campus e-examination.

Traditional on-campus exams

1. Request an on-campus written examination in TimeEdit Exam (TE Exam)

The course administrator, or equivalent, submits the request in TE Exam.

Examination requests with proposed dates/times must be submitted in TE Exam no later than:

  • May 15th: for the autumn semester and resit examination 1.
  • November 15th: for the spring semester and resits in August.

Exam Services also processes incoming requests on a rolling basis, subject to room availability, provided the request is submitted at least 15 working days prior to the requested examination date. For shorter notice, please contact tentamen@slu.se.

NB.

  • Always include the course code in the title.
  • Always indicate at least two alternative exam dates.
  • “Admin” refers to the staff member with no teaching responsibilities who supports the course leader or equivalent.
  • Only one campus location per order is permitted.

2. Checking the status of the examination request

Exam Services books preliminary halls for examinations after the deadline dates.

Once your request is shown as scheduled in TE Exam and confirmation has been sent from SLU's central room booking, the process is complete. Please verify the details in TE Exam or TE Viewer.

3. Creating the activity session in Ladok

For all on-campus exams, student registration via an activity session in Ladok is mandatory. Once the activity has closed, no further students may be added!

The activity can be created by the course administrator, or an equivalent, once the examination request in TE Exam is shown as scheduled and appears in TE Viewer.

Please ensure the following:

  • The title contains the course code and course name.
  • Date and time match TE Exam.
  • Course modules correspond with TE Exam.
  • Ladok anonymisation codes are used. (If your institution lacks an administrator, note in the examination information that you require assistance with anonymisation codes from Exam Services.)
  • The room is specified only as: "Umeå, room details available via TimeEdit no later than 3 days in advance."

The activity session deadline in Ladok is set to 10 weekdays before the exam date. For exams close to the start of a semester, email Exam Services: tentamen@slu.se

4. Students with study support

Students who have been granted targeted study support put in their request via the Ladok activity session. Exam Services has the authority to grant or deny such requests.

Support provided includes:

  • separate room
  • small group setting
  • extended writing time
  • computer with assistive tools – laptop disconnected from the network, equipped with Word and the text-to-speech programme TorTalk.

Examiners wishing to contest a support decision should contact tentamen@slu.se.

5. Room booking finalised 3 weekdays prior to the exam

The confirmed room(s) are published in TimeEdit three (3) working days prior to the examination date. For late changes, Exam Services will contact relevant staff directly.

Several rooms may be booked for a single examination session. In such cases, Exam Services will allocate students accordingly, and the distribution will be visible in TE Viewer.

6. Information for Students

A short summary for your Canvas course room to be used prior to the examination date:

  • The room will be published in TimeEdit (schedule and room reservation) approximately three working days before the examination.
  • You must bring valid photo identification – digital IDs are not accepted.
  • All electronic devices, including wristwatches, must be switched off and stored at the designated location.
  • If medical equipment is required, inform the invigilator upon arrival.
  • Snacks and drinks are permitted, but NO NUTS. Transparent containers are recommended to facilitate checks by invigilators.
  • Be considerate of others – avoid perfume and strongly scented products.
  • All suspected cheating will be reported.
  • Students with questions regarding the examination procedure should contact tentamen@slu.se.

If you would like TS to visit and provide students with more information about written examinations at SLU (for example, at the start of term), please email tentamen@slu.se to book a session.

7. Preparing examination materials

Complete the template Exam information and print one copy per room.

Pack in a folder or box:

  • Printed examinations for all students (+1 spare copy per room). If your examination consists of several parts and you do not wish to staple them, place each set in an A3 folded cover per student, in line with the Examination Services cover template.
  • Any permitted aids (e.g. textbooks or formula sheets provided by the lecturer).
  • USB memory (only if Exam Services has informed you that there are students who will be using a computer as targeted study support). In such cases, prepare one USB memory per room (+1 spare), containing a version of the examination in Word.
  • Exam information sheet.

8. Submitting examination materials

All materials must be submitted no later than 14:00, two working days prior to the examination date, to the Service Centre in Ulls hus (open weekdays 8:00–16:00).

9. Picking up completed examinations

All materials are collected at the Service Centre in Ulls hus (open weekdays 8:00–16:00).

  • Materials may be collected at the earliest two hours after the end of the examination, or from 10:00 the following working day for examinations ending after 14:00.
  • Only individuals specified on the exam information sheet may collect the materials.
  • Valid ID is required.

Digital salstentamen

1. Training for the Admin role in Inspera

A staff member with no teaching responsibilities must be appointed as Admin and complete SLU’s Inspera training. The training consists of a Canvas course, a quiz, and a Zoom session. Access rights are granted only after completion.

Training must be finalised no later than six weeks before the examination. Registration is via the Inspera system page; questions regarding training should be directed to inspera@slu.se.

 

2. Request an e-examination in TimeEdit Exam (TE Exam)

The course administrator, or equivalent, submits the request in TE Exam.

  • Only one campus location per order is permitted.
  • Audio cannot be used in examination questions.
  • Only examination formats approved and provided by SLU may be used.

All digital on-campus examination formats listed below are conducted using a secure browser in an examination hall under the supervision of invigilators. The examination consists of a single, integrated component and is entirely digital in format, unless otherwise stated under the relevant heading. Students are provided with note paper unless this has been explicitly prohibited by the examiner.

Digital on-campus examination:
This is the digital equivalent of a traditional paper-based examination.

Digital on-campus examination (open book):
The digital equivalent of a traditional paper-based open-book examination, in which students are permitted to bring their course textbook. The physical book is replaced by a digital version in PDF format, for which the department has verified that copyright regulations permit such use. In addition, approximately ten links to external online resources and/or additional PDF files may be uploaded for use during the examination.

Digital on-campus examination (MEQ examination):
A digital examination where students cannot navigate backwards between questions; navigation is only possible forwards to the next question.

Digital on-campus examination (Aiforia):
A tested and approved specialised examination format for the display of histological specimens. The department is responsible for configuring the external cloud-based Aiforia platform and ensuring that it is accessible to students without login credentials during the examination.

Digital on-campus examination (Diagnostic Imaging):
A tested and approved specialised examination format for the display of radiographic images. This format cannot be coordinated with other examinations, as the lighting in the examination hall must be dimmed. Furthermore, the hall must be equipped with approved display screens; consequently, this examination can currently only be offered on the Ultuna campus.

Digital on-campus examination (PILOT):
An option to be selected if the digital on-campus examination does not correspond to any of the examination types described above. At least eight (8) weeks prior to the scheduled examination date, you must contact Examination Services. This process is carried out in collaboration between the relevant department, Examination Services, and the Unit for Educational Development (EPU) and the Unit for Educational Systems and Media, both within the Division of Learning and Digitalisation. The department must be able to conduct the examination as a paper-based examination until the evaluation has been completed. Following the evaluation, a decision will be made as to whether the pilot examination format will be added to the examination formats supported at SLU.

3. Checking the status of the examination request

  • The title contains the course code and course name.
  • Date and time match TE Exam.
  • Course modules correspond with TE Exam.
  • Ladok anonymisation codes with prefix are used. Example of an anonymisation code where the prefix corresponds to the course code: LK0123-001-ABC.
  • The room is specified only as: "Ultuna, room details available via TimeEdit no later than 3 days in advance."
  • The activity session deadline in Ladok is set to 10 weekdays before the exam date. For exams close to the start of a semester, email Exam Services: tentamen@slu.se  

5. Students with study support

7. Exam Services assigns Admin permissions in Inspera for the examination session

Exam Services adds an Admin user, who is granted access to a predefined template based on the selected examination type.

The Admin is then responsible for:

  • Adjusting settings
  • Adding supplementary information for students
  • Assigning additional roles, e.g. assessors

8. Question set shared with Admin

The teacher creates the question set and shares it with the Admin. Please use a clear naming convention (e.g. LK0123_Ordinary_240110). This should be done well in advance.

A question set contains the tasks to be included in the examination. It can be created at any time by the course coordinator, teacher, or equivalent and is initially completely independent of a specific examination session in Inspera. The set should be given an appropriate and unique name, for example, including the course code, subject, and whether it is an ordinary or resit examination.

9. Information for students

In the examination template in Inspera, certain information for students is included by default and may be edited.

A short summary that can be published in your Canvas course room with information students should review prior to the examination:

  • The room will be published in TimeEdit (schedule and room reservation) approximately three working days before the examination.
  • You must bring valid photo identification – digital IDs are not accepted.
  • Ensure that your SLU student account is active and that you know your username and password.
  • All electronic devices, including wristwatches, must be switched off and stored at the designated location.
  • If medical equipment is required, inform the invigilator upon arrival.
  • Snacks and drinks are permitted, but NO NUTS. Transparent containers are recommended to facilitate checks by invigilators.
  • Be considerate of others – avoid perfume and strongly scented products.
  • All suspected cheating will be reported.
  • All computer activity is logged.
  • Students with questions regarding the examination procedure should contact tentamen@slu.se.

10. Work in Inspera must be completed two working days prior to 14:00

No later than two working days prior to 14:00, the Admin must have:

  • Linked the question set to the examination session
  • Completed and uploaded the Inspera examination information template as a PDF under the Security tab
  • Finalised all settings in Inspera

11. Exam Services activates the examination

The examination session is activated in Inspera by Exam Services after 14:00, two working days prior to the examination. This includes setting the password, adding any extended examination time for individual students, granting authorised invigilators access to the session, and activating the examination. Students who log in to Inspera will then be able to view the student information added by the Admin.

12. After the examination

Following completion of the examination session, it is automatically closed by the system in accordance with the settings configured by the Admin.

Assessment, grading, and any comments to students are completed by the assessor. The assessment is confirmed by the assessor in Inspera, and grades may subsequently be transferred to Ladok.
