On-campus exams with Exam Services in Umeå – a step-by-step guide
This overview outlines, step by step, how on-campus exams are coordinated in collaboration with Exam Services, with the purpose of ensuring a legally secure and smooth process for both staff and students. Further information is available below each collapsible heading.
Traditional on-campus exams
1. Request an on-campus written examination in TimeEdit Exam (TE Exam)
The course administrator, or equivalent, submits the request in TE Exam.

Examination requests with proposed dates/times must be submitted in TE Exam no later than:
- May 15th: for the autumn semester and resit examination 1.
- November 15th: for the spring semester and resits in August.
Exam Services also processes incoming requests on a rolling basis, subject to room availability, provided the request is submitted at least 15 working days prior to the requested examination date. For shorter notice, please contact tentamen.umea@slu.se.
NB.
- Always include the course code in the title.
- Always indicate at least two alternative exam dates.
- “Admin” refers to the staff member with no teaching responsibilities who supports the course leader or equivalent.
- Only one campus location per order is permitted.
2. Checking the status of the examination request
Exam Services books preliminary halls for examinations after the deadline dates.
Once your request is shown as scheduled in TE Exam and confirmation has been sent from SLU:s central room booking, the process is complete. Please verify the details in TE Exam or TE Viewer.

3. Creating the activity session in Ladok
For all on-campus exams, student registration via an activity session in Ladok is mandatory. Once the activity has closed, no further students may be added!
The activity can be created by the course administrator, or an equivalent, once the examination request in TE Exam is shown as scheduled and appears in TE Viewer.

Please ensure the following:
- The title contains the course code and course name.
- Date and time match TE Exam.
- Course modules correspond with TE Exam.
- Ladok anonymisation codes are used. (If your institution lacks an administrator, note in the examination information that you require assistance with anonymisation codes from Exam Services.)
- The room is specified only as: "Umeå, room details available via TimeEdit no later than 3 days in advance."
- The activity session deadline in Ladok is set to 10 weekdays before the exam date. For exams close to the start of a semester, email Exam Services: tentamen.umea@slu.se
4. Students with study support
Students who have been granted targeted study support put in their request via the Ladok activity session. Exam Services has the authority to grant or deny such requests.
Support provided includes:
- separate room
- small group setting
- extended writing time
- computer with assistive tools – laptop disconnected from the network, equipped with Word and the text-to-speech programme TorTalk.
Examiners wishing to contest a support decision should contact tentamen.umea@slu.se.
5. Room booking finalised 3 weekdays prior to the exam
The confirmed room(s) are published in TimeEdit three (3) working days prior to the examination date. For late changes, Exam Services will contact relevant staff directly.
Several rooms may be booked for a single examination session. In such cases, Exam Services will allocate students accordingly, and the distribution will be visible in TE Viewer.
6. Information for Students
A short summary for your Canvas course room to be used prior to the examination date:
- The room will be published in TimeEdit (schedule and room reservation) approximately three working days before the examination.
- You must bring valid photo identification – digital IDs are not accepted.
- All electronic devices, including wristwatches, must be switched off and stored at the designated location.
- If medical equipment is required, inform the invigilator upon arrival.
- Snacks and drinks are permitted, but NO NUTS. Transparent containers are recommended to facilitate checks by invigilators.
- Be considerate of others – avoid perfume and strongly scented products.
- All suspected cheating will be reported.

7. Preparing examination materials
Complete the template Exam information and print one copy per room.
Pack in a folder or box:
- Printed examinations for all students (+1 spare copy per room). If your examination consists of several parts and you do not wish to staple them, place each set in an A3 folded cover per student, in line with the Examination Services cover template.
- Any permitted aids (e.g. textbooks or formula sheets provided by the lecturer).
- USB memory (only if Exam Services has informed you that there are students who will be using a computer as targeted study support). In such cases, prepare one USB memory per room (+1 spare), containing a version of the examination in Word.
- Exam information sheet.
8. Submitting examination materials
All materials must be submitted no later than 14:00, two working days prior to the examination date, to Exam Services.

9. Picking up completed examinations
- Materials may be collected at the earliest two hours after the end of the examination, or from 10:00 the following working day for examinations ending after 14:00.

- Only individuals specified on the exam information sheet may collect written examinations and code envelopes. Code envelopes are either handed over to the course administrator or remain in the safe until the examinations have been marked. A valid form of identification may be required upon collection if you are not already known to Exam Services.
- You are kindly requested to collect your written examinations as soon as possible, as Exam Services are unable to store them for an extended period.
