Idis is SLU’s primary information system for identity and resource management. It is the university’s catalogue system over employees, contractors and students, and manages privileges for those people to certain resources. Idis also maintains the logical and presentational structure of SLU’s organization. Information from IDIS feeds many other internal and external systems.

Information about you

Information from Idis is shown for example on the web "Search SLU Employee".
The following personal information can be edited in Idis:

  • Name which will be searchable
  • Phone number (room for multiple numbers)
  • Optional email address
  • Link to a personal homepage
  • Photo

You can see your personal information which is stored in Idis.

If you notice incorrect information or need to update something, contact the directory administrator (Katalogansvarig/HR Records) at your department. To find out who this is:

  1. Open Idis.
  2. Click on "Min profil" in the left margin.
  3. Choose "Organisationsuppgifter" and look who has the HR Reocords administrator role.

New – role management

Role management contains roles and assignments such as department heads, union representatives, administrative roles or graduate students. One purpose of role management is to make it easy to find who has a particular role at a particular department, or some other organisational unit.

Administrators, managers and approvers

For role management to work, there are three particular functions.

Role administrator

Role administrators deal with the practical management of the roles they administer. They can directly assign simpler base roles and start processes for roles that require secondary approval.

Role administrators are typically directory administrators but may well be other persons or functions.

Role manager

Role managers have overall responsibility for the role but not for it's assignment. That responsibility lies with administrators and department heads.

Role managers have the same authority as the role administrators. They can search, edit, add and deactivate a role assignment for the roles they are responsible for. If a role manager makes a role assignment for a role which normally requires approval, the approval process is bypassed and the assignment is immediately valid. When this happens, red text in the actual view is shown to alert the role manager that no approval process will be initiated for just this assignment.

Role approver

The approver's task is to approve or reject proposals for new role assignments. IDIS sends out email advisories to role approvers when they have cases to attend to.

Different types of roles

Base role

For so called base roles no approval process is required. That means a role administrator can assign the role on request from a manager for a particular employee. Example base roles:

  • PhD student
  • Teaching staff

Decision roles

Other roles require approval by one or two secondary decision makers before the assignee is accepted. Example decision roles

  • Administrative roles (two decisions)
  • Head of Division in University Administration (1 decision)
  • Head of Department (2 decisions)
  • NyA basic user (2 decisions)

Imported roles

The third type of role in place use imported source information from other systems for role assignments. Example imported roles:

  • PhD student
  • Human Resources Officer
  • Payroll Administrator
