Until now, we have had a number of systems and forms for reporting incidents, something which has at times been confusing and unclear.
With the new IA system, the majority of cases will be reported the same way. The only exception will be fault reporting related to premises and service, where a separate system will still be used.
The following areas are covered by the IA system:
- work environment
- environment
- property
- personal safety
- IT security
- information security
- personal data breaches
- quality (Lövsta only).
What kind of incidents can be reported in IA?
- accidents
- incidents
- risks observed
- non-conformities
- improvement proposals.
Where to find IA
The reporting system can be accessed from the start pages of the staff web and the student web, through the ‘Emergency or incident’ button under the red and yellow warning sign. When you submit your report, it will automatically be forwarded to your immediate superior or someone else responsible for following up on incidents.
You can submit your report using a PC, tablet or smartphone.
Managers and safety representatives have a particular responsibility
All students and staff are expected to take part in the systematic work environment management and report any incidents. Some staff, however, have increased responsibility.
Managers with responsibility for the work environment, or those responsible for a particular function such as an environmental certificate or an aspect of safety, are responsible for follow-up and taking action on the incidents that are reported. With the IA system, keeping track of this work will be a lot easier.
Safety representatives play an important part in the systematic work environment management. Therefore, all safety representatives will be informed of any incidents within their area of responsibility, to enable continued good cooperation with SLU as an employer.
The system is also a helpful analysis and statistics tool, providing quality data and documented incidents as decision-support. We will also be able to exchange experiences and collaborate with other higher education institutions.
Training for managers and safety representatives
If you are a manager or a safety representative, you should take the web-based training offered by AFA Försäkring. That way, you are prepared when the time comes to manage your first incident report:
