Help Us Prepare for the Transition to Microsoft 365

We are now preparing for the transition to Microsoft 365, which will introduce new shared tools for email and cloud-based document management. In connection with this, we all need to review how we handle email and documents.

This work is not only about the migration itself, but also about ensuring, already today, that sensitive personal data and confidential information are handled correctly. By doing so, we ensure that only information that is permitted and appropriate to retain is migrated, while also strengthening SLU’s information security. Each employee is responsible for reviewing and managing their own content in accordance with SLU’s instructions and guidance.

What do you need to do?

If you know that you have emails, files, or documents containing sensitive personal data or confidential information, you now need to review and relocate this content.

Review your email, your SharePoint areas, and any shared mailboxes:

  1. Focus on handling sensitive personal data and confidential information correctly (see instructions below).
  2. Delete information that no longer needs to be retained.

How do I do this?

If you have sensitive information in email:

  • Save what must be retained in a local email folder (.pst)

  • Delete content that does not need to be kept and empty the recycle bin when you are finished.

If you have sensitive information on arbetsplats.slu.se (SharePoint)

  • If the information needs to be shared: Order a secure file area.
  • Instruction

The migration applies to our email and SharePoint (arbetsplats.slu.se), but the same legislation regarding sensitive personal data and confidential information also applies to Teams and OneDrive.

When does this need to be completed?

We ask that this work be completed no later than 13 February 2026, so that the migration to Microsoft 365 can be carried out in a safe and well-planned manner.

What happens if I do not do this?

If the cleanup is not completed, there is a risk that information that should not be handled in Microsoft 365 will be transferred to the new platform. This could result in SLU violating applicable legislation, such as the Public Access to Information and Secrecy Act and the GDPR.

The cleanup is therefore an important collective measure to protect both individuals’ data and SLU as an organization.
