Events
Organising an event takes more than a good idea. Whether it’s a small seminar or a large conference, success depends on clear goals, careful planning and structure, and creating an experience that engages and inspires.
Define your purpose
First, start by asking yourself why you are organising the event, what you want to achieve, and who it is for. A clear purpose makes planning easier and ensures everyone works toward the same goal.
Plan together
Involve colleagues early — sharing ideas often leads to better results.
Create a timeline with key dates, responsibilities and budget. Large events may require planning for a year, while smaller ones can be arranged in a few weeks.
Be flexible
Unexpected issues may arise — venues, speakers, or schedules can change. Be prepared to adapt while keeping the main goal in focus.
Practical details
Choose a venue that fits the event’s purpose and book early. Check for competing events and avoid holidays or busy periods.
Prepare a checklist for logistics — from lighting and refreshments to accessibility and travel options.
Communication and coordination
As an event leader, you’re responsible for both internal and external communication. Plan how and when to share information, and keep messages short and consistent. Coordinate with ongoing SLU events, such as SciFest, Borgeby Fältdagar, and Almedalen, to avoid overlaps. For larger events, contact Akademikonferens for professional support.
Follow SLU’s profile
Always use SLU’s Brand Manual and graphic guidelines when producing materials. Exhibition materials can be borrowed at SLU’s main campuses.
Evaluate and learn
Ask the participants for feedback shortly after the event. Well-organised events leave people inspired and satisfied — not because they’re big, but because they’re meaningful, consistent and well prepared.
