Microsoft 365: What needs to be done before September 1

During the autumn, SLU will transition to Microsoft 365. In connection with this transition, it is important that we avoid, as far as possible, storing classified information or sensitive personal data in emails. Therefore, all employees need to prepare by deleting and saving emails and files elsewhere.

We are aware that the information regarding this work has not always been adequate, and we regret that. The overall direction is that a final transition to M365 will only take place once all staff have had time to carry out the deletion work and once functioning, alternative solutions are in place for handling sensitive information that is currently sent by email or stored in SharePoint.

Before September 1, you need to:

  1. Delete and save emails and stored files

By September 1st at the latest, emails and files that contain classified information or sensitive personal data must be deleted or moved to an approved local storage location in accordance with current procedures — if they are to be preserved.

Why is this important?

Deletion of sensitive information is part of the University’s obligations under applicable laws and regulations. We also need to ensure that information that must be preserved is stored in a secure location.

  1. Use the Oulook app on your phone 

If you use your work email on your phone and use any app other than Outlook, you need to switch.

After September 1st, Apple’s built‑in Mail app — including the calendar — and other email apps will no longer work for SLU email, as support for them will end. To continue reading and managing your work email on your phone, you will need to use the Outlook app.

Support and guidance

Many questions have been raised about the deletion process — how it should be carried out and which principles should be applied, both ahead of September 1st and in everyday work after the transition to M365. On the staff website, you will find guidance, questions and answers, as well as information about what should be deleted, what should be stored, and how to install the Outlook app.

We are offering digital information sessions on June 25th, and on August 11th and 13th, where you can ask questions. The invitation with specific time slots will be distributed separately and published on the Staff Web.
