Rutines and policies regarding room bookings

The Room booking team's work is primarily guided by two documents: Guidelines for the management and use of SLU's teaching spaces and the Booking order. The guidelines clarify where responsibility lies for decisions, daily operation, and administration of the teaching spaces. The booking order stipulates how the room booking team should prioritise during the booking periods.

Booking procedures for communal teaching premises on SLU’s main sites

Teaching premises for courses are to be booked during the annual booking periods established in the Guidelines for the management and use of SLU's teaching spaces. To ensure optimal use of SLU’s premises, the teaching premises are allocated following booking procedures based on the criteria below.

Booking procedures for teaching at first and second cycle level

If there is a shortage of premises, courses being held in semester 1 will take priority for on-campus teaching premises. In addition, the following booking procedures apply:

  1. Examinations and assessments
  2. Courses with students requiring accessibility adaptations as per their Nais decision
  3. Courses given at several campuses or those run with other universities
  4. Courses where complex bookings of departmental and faculty-owned resources need to be coordinated with the booking of teaching premises
  5. When special equipment is needed, such as video facilities, microscopes, computer labs, laboratories, etc.
  6. Group size Premises will be allocated from largest to smallest number of students per group
  7. Type of premises needed, such as those with movable furniture, lecture theatres, U-shaped meeting rooms, etc.

Exemptions from booking procedures

Where available, events requiring booking long in advance may book premises before the standard booking deadline for courses. During the summer semester, all premises will be available to everybody. With certain exceptions:

  • Academic ceremonies
  • Public defences of doctoral theses*
  • Bookings by the student unions for trade and industry events aimed at establishing exchanges between students and industry
  • Conferences linked to SLU’s operations and activities
    • If possible, these events should be held in lecture theatres and rooms rarely used for teaching.
  • Lecture theatres on each campus, Bankettsalen in Ultuna and Stora sessionsalen in Alnarp.

*Audhumbla (Ultuna) may only be used by others once it has been assigned to teaching activities for the relevant period.
