M365 – What Happens After September 1?
During the autumn, SLU will transition to Microsoft's cloud services, also known as M365. Before the summer, all employees were asked to review their emails and files by September 1, deleting unnecessary material and preserving information that need to be retained. But what happens after that?
The move to M365 will not take place immediately on September 1st. Instead, it will be an ongoing process throughout the autumn, and everyone will need to contribute. We will all need to continuously review and delete unnecessary emails and ensure that we use the Outlook app from September 1st 2026 onwards.
Below is a more detailed description of what will happen and how departments and employees can help.
Continuous Information Review and Deletion
After September 1st, departments and employees must continuously delete or move classified information and sensitive personal data to an approved storage solutions/local storage area in accordance with agreed procedures.
Migration to M365
During the spring, the M365 project team has met with all departments to identify affected processes and determine which information no longer can be handled in services that are moving to the cloud, i.e. classified information and sensitive personal data. The project is currently working to identify gaps, find secure solutions, and develop an initial time plan.
Both the solutions and the schedule is a joint effort between the project team and the affected departments. This means that email migration will take place gradually throughout the autumn, with the goal of having the entire university migrated before Christmas. As a pilot project, four SharePoint sites have already been successfully migrated. The main migration phase will begin in September 2026 and is expected to be completed during the autumn.
Until new solutions are in place, sensitive information must continue to be handled in existing approved services, such as Restricted and ZendTo. Where alternative solutions are not yet available, current working methods may need to continue temporarily. However, classified information and sensitive personal data must still be reviewed and deleted on an ongoing basis.
Reminder: Use the Outlook App!
If you use an email application other than Outlook on your phone or computer, you need to switch no later than September 1st 2026, as support for other email and calendar applications will cease after that date.
Using Outlook on the web is always an approved alternative.
