Centralized file storage ensures that stored information is protected against data loss and that availability for users is maintained.
SLU’s central storage is managed by the IT Department and is used for various storage services including home directories and shared folders – Common and Restricted. Digital work materials such as documents, photos, videos, and other files can be stored here. It is a fast centralized storage solution with high availability and security. The service protects against data loss by continuously copying all files in the system to another storage system located in a separate server room.
Central file storage (Home Directory, Common, and Restricted) is ordered through IT Support. Costs are charged according to the IT Department’s price list.
The Home Directory is personal file storage where you save your own work material. Since only you have access to your Home Directory, you can use it to store all types of files, including those with confidential content. Normally, you will find this storage space under My Documents in File Explorer if you use Windows. If you use macOS, you can add it manually in Finder.
The shared storage area Common is used by a department or division so that staff and affiliates can save and share work materials. Everyone with access to the folder can read, save, edit, and delete files. Since material stored in Common can be read, modified, and deleted by many users, the service is not suitable for sensitive personal data, confidential, or particularly protected material.
You will find Common under Favorites in File Explorer if you use Windows. If you use macOS, you can add it manually in Finder.
The shared storage area Restricted can be used when a limited number of people need to share documents and files. Only those with permission can read, save, edit, and delete files. It is suitable for a small workgroup, project, or other collaboration group where only group members should have access to the folder.
Users with access to a Restricted folder will find it as a link under Favorites in File Explorer. If you use macOS, you can add it manually in Finder.
OneDrive is a cloud storage service from Microsoft that is included in Office 365. Through this service, you can access your material from a computer, web browser, and smartphones. You can also grant access to others, both within and outside SLU. Your OneDrive account is linked to you personally, so what is stored there will only be available as long as your SLU user account is active.
It is important to note that cloud services, such as OneDrive, must not be used for the storage or processing of sensitive personal data, confidential information, or particularly protected material.
