Shared co-funding

Co-funding need

Need for co-funding arise from two main reasons:

  • The funder does not fully cover indirect costs and facility costs.
  • The funder demands co-funding to direct costs (besides facility costs).

Compulsory demands

To get shared co-funding the project must:

  1. Have a co-funding need caused by one or both of the points under "Co-funding need" above.
  2. Be grant funded and within one of SLU´s core activities (research, environmental assessment or education).

The possibility of shared co-funding is only for the SLU-part of of a project, and not valid for co-funding need with project partners at other organisations.

Evaluation criteria

After controlling fulfillment of the compulsory demands, the faculty evaluates based on the following criteria:

  1. If the project has a co-funding need not possible to carry for the involved departments. Indicative amount limit if vice-chancellor is to take part in sharing (point 4 below) is that the total co-funding need at SLU is at least 1,2 MSEK per year in average.
  2. If the project is big enough in total. Indicative amount limit if vice-chancellor is to take part in sharing (point 4 below) is at least 20 MSEK. This is evaluated only if the funder demands co-funding to direct costs (besides facility costs).
  3. If the project is in line with the faculty´s priorities.
  4. If the faculty finds the three points above fulfilled, it will also determine if to stay with a shared co-funding between department and faculty. The alternative is to bring the issue on to SLU´s management council for evaluation of points one and two above, and of the project´s strategic relevance for SLU as a whole.

The evaluation does not include quality rating of the project, as such rating is carried out by the funder.

Administration

The research officers at the faculty offices and at the division of planning are responsible for the administration of shared co-funding. The administration consists of pre-application and application.

Pre-application

The head of main applicant department shall send a pre-application by e-mail to the research officer at the faculty office. Use Shared co-funding as mail subject. The pre-application must be sent latest two weeks before advance notification (see below) is desired, and before deadline for application. The pre-application must include:

  • Pre-application form which is the folder Co-funding in SLU´s project calculator. The pre-application form is automatically generated based on values related to APPLICATION in the project calculator´s registration folders. Desired co-funding distribution is to be registered directly in the co-funding folder. Attach the project calculator (excel-file) as a whole in the e-mail according to above.
    If faculty joint department (FGI) is involved in pre-application the pre-application form must be supplemented with Enclosure.
    For Wallenberg project applications pre-application for shared co-funding is integrated in the Application to faculty.
  • Preliminary version of grant application in pdf-format.

The content of the faculty´s advance notification can be one of the following three alternatives (1 and 2 under the condition that external funding is granted):

  1. The faculty is ready to recieve an application for shared co-funding between department and faculty.
  2. The faculty is ready to take the co-funding issue on to SLU´s management council and therefore receive an application for shared co-funding between department, faculty and vice-chancellor.
  3. The faculty will not (and therefore not either the vice-chancellor) contribute to co-funding of the project.

Application

To realize shared co-funding an application is also needed. This is valid for by funding body accepted projects, which have been given advan advance notification according to point 1 or 2 above. The head of main applicant department shall in these cases, latest two weeks after external funding has been granted apply for shared co-funding by e-mail to  the research officer at the faculty office. The application must include:

  • Application form which is the folder Co-funding in SLU´s project calculator. The application form is automatically generated based on values related to CONTRACT in the project calculator´s registration folders. Desired co-funding distribution is to be registered directly in the co-funding folder. Attach the project calculator (excel-file) as a whole in the e-mail according to above.
    If faculty joint department (FGI) is involved in pre-application the pre-application form must be supplemented with Enclosure.
    For Wallenberg project applications pre-application for shared co-funding is integrated in the Application to faculty.
  • Grant contract in pdf-format
  • Grant application in pdf-format.

Head of main applicant department shall contact the research officer at the faculty office if the time limit of two weeks according to above can not be kept, e.g. depending on that the funder has not yet approved a revised project budget.
